Organized And Swamped

I've posted here a couple times about my organizational systems.  My whole life, it's been an ever-changing process to find a system that works.  Partly, I think the system changes because my circumstances change.  It's good that I roll with the punches and adjust my system.  But I'm also thinking that there are other, underlying issues that make me swamp any (and every) system I adopt.  First I'll talk about my system, then I'll talk about keeping it from failing.

My Organizational List System

There are three parts to my system:

1) Daily To Do List

2) Upcoming Calendar

3) Category Lists

My categories (as of now ... they change) are: Research & Development, Futuregirl Shop, Other Crafting, Web Updates.  I have a couple non-crafty lists, but I'm leaving them out for this discussion.  Whenever I have a new idea, I put it on one of the lists.

My Upcoming Calendar lists birthdays, concerts, vacations, and stuff that's more than seven days away.

My Daily To Do List is what I use every day to keep track of stuff.  It's basically a notepad text document.  It has 7 days on it: today and the next six days.

Each day has some scheduled stuff on it that I do every week on that day (for example, Monday I do laundry) and other things that need to get done (like mailing out the poison invites, which I finally did yesterday).

At the top of my Daily To Do List I have one item from each of my Category Lists to remind me to work on that item if I have the time.  The important thing is that I pick only ONE ITEM from each Category List.

This means that I'm only juggling one thing to sell, one development project, one other crafty item, and one update to my website.  It turns 4 HUGE lists in to a tiny list of four things.

When I finish something from a Category List, I go back to that list and see what should be next.  I try not to spend any time prioritizing the Category Lists because who knows what will be the priority when it's time to pick the next thing.

At the end of each day, I move the unfinished items to the next day, delete today, add a seventh day on the end of the Daily To Do List, and check the Upcoming Calendar.  Even though I have a ton of things to get done, my daily lists are pretty small, so it makes me feel less overwhelmed.

Making The System Work

One of my big problems is checking the Daily To Do List.  Obviously, it is useless if I don't look at it.  It's fine if I let things slide for a day every once in a while, but it happens more than I would like it to.

A lot of the time, I abandon a system because I get frustrated that everything isn't getting done.  The last time I decided to revamp my system, I had a huge realization ... no system, no matter how elaborate or how simple will fit 5 hours of crafting into 2 hours of time.  I can color code, chart, graph, and make lists all day long, but I still live in a world which gives me only 24 hours in each day.

I realized I need to focus.  I need to cull.  I need to say no.

This is going to be hard for me.  What do I put off?  What do I focus on?  These are the questions I'm still trying to answer.  Before I can answer them, though, I think I need to answer the bigger question: How do I define success?  That will be the next post about this subject.

You're into lists, I can see. I have an agenda that displays the whole month over two pages -- that's mostly for things that are date sensitive. I keep a list in a notebook, I cross things out when they get done and re-write and add to the list when I've got a few things crossed out. I also have a bulleting board in front of my computer, there I post things like a promotions & marketing plan & ideas, a to do list for an upcoming craft show, and other ideas that I need to have in front of my face so I don't forget about them. It's hard to be organized and focused! Good personal question on success. I too am thinking about it.

I certainly can relate. I find it hard at times to stay organized. When it all gets too overwelming I find myself wanting to give up or run away. But I know if I just take a deep breath and tackle it head on, I will end up feeling much better, not to mention accomplished =]

Also, I thought I should point out that your date changed...this post is a year ahead!

this system seems very accessible...i love the idea of just choosing one item from each list to put on the To Do list. that might help the "overwhelmings" to stay away a bit more.

thanks for sharing this system...

and that question...how to define sucess...it is huge and such a good one to sift through.

I'm a list girl too - a planner. My hubby & I just made our fall must do list - hike this trail, try that restaurant, visit these people, or start this home project. Otherwise we might just crawl under a rock until the sun starts rising at a reasonable hour again!

Isn't it nice to cross off items?

I wish I was so organised... I just start something & it's there until I have finished it! (sometimes for a quite awhile!) When inspiration hits I start something else & just go with whatever the mood takes me until I'm done!

When I have lots on I make lists to remind me of what needs doing! lol then I loose the list amongst all the hundreds of projects I have on the go all at once!

Oh yeah & how do I define success?

My first thought was if you're happy with what you are doing the you're sucessful...

But I guess I haven't really got as far as knowing what I really want to do!

Crumbs I' better get thinking as 'it's later than you think... enjoy life while your still in the pink... it's later than you think!' as the song goes....

Ok so now I'm worried about my whole craft world & where I want to be & how (un) successful I am!

I think Blaize was right! Will you coach me too?

I don't let myself use paper and pen because I'd spend all my time buying notebooks and pens and writing and rewriting my lists. :)

I use the computer. My husband and I are web programmers. He built me a little web application (which I have since modified a little). The web application reads text documents and displays them in my web browser. If I weren't a programmer, I would just access the text documents directly on my computer.

The text documents are .txt, like if you used Note Pad or Simple Text. There is only text, no formatting. Not even tabs or bold. Nothing. This keeps me from wasting time 'making my list pretty.' :)

There is one file for Daily, one for Upcoming Calendar, and one each for my category lists. I also have files for address and other reference info. It's pretty simple.

That's what I need to do instead of having my i-calendar along with my scraps of paper next to the phone with to-do lists that seem to all get lost.

i love your systems. are you a virgo, too? i am a systems and lists maker myself. for me, the act of putting ideas and projects in a format helps me focus my wandering brain and prioritze. i try to leave myself a little wiggle room to be flexible (i can easily become too rigid about my plans). keep in mind you are actually accomplishing alot - and asking all the right questions. the best advice i ever heard was that saying no to one thing means saying yes to something else. when you think of it this way, it is not a negative, but an opening up to something new. saying no is the best lesson i ever learned. it will change your life!

You're on the right track I think. I attempt the list thing, too... but I still have things on the list that were originally inserted months ago. I feel your pain.

AH HA!

I have the same elements in my system---calendar, to-dos, and categorized lists, yet I DID NOT make a habit of actually doing things from the categorized lists. They just sort of languish except for getting added to. So, Ah HA! THE MISSING LINK...

I also do everything on paper, so I do spend ALOT of time re-writing lists, and I get upset when I lose my favorite pens. It may take even more time if I tried to do it on the computer though, since I don't have computer skillz and I get frustrated.

Re-defining success is important. We should all do that. I think about it alot and look forward to that post. My good friend Sam got really inspired by Buckminster Fuller recently and does alot of thinking about re-defining wealth.

I'm tired of the tired old definations that people use to measure themselves and eachother by, and to beat themselves up so they feel unsatisfied and lacking. RE-DEFINE EVERYTHING!!!!!!

hi! i just discovered you through another blog (can't remember which one, sorry) and i'm thrilled. i'm going to have to re-read this one again several times, because it's brilliant and is exactly what has been going through my head (the part about life being an "ever changing process to find a system that works" and "needing to focus", etc. That stuff. Oh yes, it was Ann Wood, I believe. I found you through her post. Anyway, I must try your system. I love lists. This might help me a lot! Thank you so much. Also, I like your other posts. You have a great writing style. I'm going to continue reading. Be well. :)
